TeklifRota — Export Quotation and Logistics SaaS
A multi-tenant B2B platform managing export quotes, revisions, proforma invoices, packing lists, freight, approvals and shipments in one auditable flow.

Description
A multi-tenant B2B platform managing export quotes, revisions, proforma invoices, packing lists, freight, approvals and shipments in one auditable flow.
Case study
Challenge
Export teams re-typed the same data into quotes, proformas, packing lists and invoices, and quoted freight on unsourced estimates. Buyer research happened in tools disconnected from CRM and quoting.
Approach
We merged the trade fair quoting prototype with a multi-tenant SaaS core and built the whole process on a single record. We developed a template system that derives documents in three languages from the same data, a versioned freight engine that stores its inputs, and a Radar workspace that links buyer discovery to CRM.
Outcome
TeklifRota is live at teklifrota.com, managing the export process from quote to shipment on one screen with 33 backend modules, more than 200 tables and six document types. The Export Growth module is in pilot use.

Details
TeklifRota is a multi-tenant B2B SaaS platform for the sales, logistics and finance teams of exporting manufacturers and SMEs. Starting from product and customer cards, the process moves through quote, revision, approval, proforma, packing list, commercial invoice, freight and shipment on a single record. The tagline says it all: one route from quote to delivery.
Context and need
Export teams re-type the same customer and product data into quotes, proformas, packing lists and invoices again and again. Freight prices are often guesses with no traceable source, and buyer research happens in separate tools that are disconnected from CRM and quoting. On top of that, teams need to quote quickly at trade fair stands. The project began as a quoting prototype under the working name “Fuar Teklif” (trade fair quote); that prototype, with its MOQ, carton/pallet, CBM and EXW/FOB/CIF calculations, was merged into a shared SaaS core to become today's platform.
Solution and scope
Products, customers and quotes
Product cards hold tiered prices, MOQ, carton multiples and packaging data; customer cards store contacts, addresses and documents. Quotes are managed by a state machine with revision history, locked numbering sequences, expiry and all 11 Incoterms 2020 rules. An approval engine holds quotes back under defined conditions. Buyers can open the quote through a personal link and accept it, reject it or request a revision. The packaging calculation produces load plans for 20DV, 40DV and 40HC containers and curtainsider trucks.
Document generation
Quotes, proforma invoices, packing lists, commercial invoices, loading instructions and freight quotes are all derived from the same record, with 19 template variants across the six document types. Documents are rendered server-side as HTML, converted to PDF and stored with a SHA-256 checksum and template version. Documents can be produced in Turkish, English or German; without an explicit choice, the customer's language is used, then the company's. The correct bank account is selected automatically for USD, EUR, GBP and TRY. Document sets can be shared through a single QR-coded link or as a ZIP file, and Excel exports are protected against formula injection.
Freight engine
We built a deterministic, versioned freight engine for road, sea and air, with five vehicle types for road transport. It works with European Central Bank exchange rates, the EU Weekly Oil Bulletin, OpenStreetMap-based road distances and measured motorway and toll costs. Every saved freight calculation is stored with its inputs and can be re-run to classify it as reproduced, drifted or manual, so the origin of a price can always be proven. An RFQ flow with a token-based carrier bidding portal collects quotes from carriers, and connector infrastructure is in place for the TIMOCOM, Trans.eu and Teleroute freight exchanges. Public holiday calendars for 51 countries feed into delivery dates.
Buyer discovery, CRM and export growth
The Radar workspace offers buyer/supplier matching, trade trends and shipment details from customs and trade records, while “Company Mirror” provides a sector and competitor view. A trade fair and exhibitor catalogue, company enrichment, decision-maker discovery and company profiles from official sources (GLEIF, UN Comtrade, the Turkish Ministry of Trade exporter index) feed the same flow. Companies found this way are transferred to CRM within quota limits; the CRM covers companies, opportunities, tasks, email campaigns and a rule-based “customer coach”. The Export Growth module gives suppliers indexable, English-language product pages, and buyer requests from these pages land directly in the existing CRM and quote flow.
Admin panel
The main menu contains the dashboard, Radar, Export Growth, CRM, commercial records, freight calculation, orders, shipments and reports. Settings cover company profile, scoring weights, packaging constants, freight price sources, integrations, plan and usage, API and webhooks, sessions, privacy and data health. On the superadmin side, tenants, freight parameters, transit corridors, data feeds, the trade fair pool, site/SEO/GEO settings and cloud costs are monitored. Every change to a freight parameter must cite a source and is written to the audit log.
Technical architecture
In the Bun-workspace monorepo, the backend runs on Fastify 5, TypeScript and MySQL with raw SQL migrations, while the public site, onboarding and panel share a single Next.js and React 19 application. Freight and packaging logic live in separate packages, so server and interface use the same calculation. The backend consists of 33 modules and more than 200 tables. Every business table is scoped by tenant key, and a guard enforcing this runs on every build and in continuous integration. Company roles are split into owner, admin, sales manager, sales, logistics, finance and viewer, with an at-least-one-owner rule and no self-escalation. The panel interface is in Turkish; documents are produced in three languages and buyer product pages in English. Public pages ship with structured data, a dynamic sitemap, llms.txt and robots rules that welcome AI crawlers; a desktop Lighthouse run scored 100 for performance.
Integrations and security
- Payments and subscriptions: iyzico, Stripe Checkout and superadmin-approved bank transfer share one activation path; trial, starter, pro and enterprise plans are quota-based.
- Partner API: an OpenAPI-documented REST API for ERP systems with scoped keys, HMAC signatures, idempotency and webhooks, covering products, customers, quotes, orders and freight.
- Email and calendar: SMTP sending, unsubscribe and suppression lists, Google Calendar and Google Tasks connections, Telegram notifications.
- Security: argon2 password hashing, rotating refresh tokens kept only in httpOnly cookies that revoke all sessions on reuse, AES-256-GCM encrypted tenant secrets, CSRF origin checks, strict security headers and a GDPR/KVKK request lifecycle.
Today
TeklifRota is live at teklifrota.com, with pilot use of the Export Growth module under way. The roadmap includes Turkish e-invoice/e-archive integration, multi-factor authentication and benchmarking against licensed freight indices; these are still at the planning stage.
